Chinese suppliers run their customer relationships on 微信 (Wēixìn, WeChat) rather than email. Your merchandiser will message you photos from the line, voice notes, and price changes there. That makes WeChat both the most convenient channel and the place where a spoken agreement becomes a written one. The habit to build: after every call or meeting, send a short message restating what was agreed, and ask for a 收到 or a 确认. A confirmation in the chat is not a contract, but it is a record both sides will refer back to.

扫一扫 (sǎo yi sǎo) is "scan"; one person shows their QR code (二维码 èrwéimǎ), the other scans. 我扫你 means "I'll scan yours." 拉群 (lā qún) is to create a group chat, the norm for an order with several people on each side.

The standard acknowledgement. 好的 (hǎo de) is "okay," 明白 (míngbai) "understood," 收到，谢谢 the polite version. Acknowledging promptly is expected; silence reads as a problem.

Factory staff often send long voice messages. 转文字 (zhuǎn wénzì) converts a voice message to text inside WeChat (press and hold the message), and the result is easy to paste into a translator. Asking for text is acceptable when phrased as your limitation.
不好意思，我听语音不太方便，麻烦您打字发给我，谢谢！
Bù hǎoyìsi, wǒ tīng yǔyīn bú tài fāngbiàn, máfan nín dǎzì fā gěi wǒ, xièxie!

A numbered list of what was agreed, with an owner and a date for each item, and a request to confirm. 如有出入 (rú yǒu chūrù, "if anything differs") invites corrections now rather than disputes later.
Jīntiān huìyì jìyào rúxià: yī, yàngpǐn xià zhōuwǔ jìchū; èr, dānjià sì kuài yī, FOB Níngbō; sān, jiāoqī sìshíwǔ tiān. Rú yǒu chūrù qǐng zhǐchū, xièxie!
Today's minutes: 1. samples ship next Friday; 2. unit price 4.10, FOB Ningbo; 3. lead time 45 days. Please point out anything that differs. Thanks!

跟进 (gēnjìn) is to follow up, 催 (cuī) to chase. Ask for photos as well as words; a picture of goods on the line settles more than 快了 (kuài le, "nearly there").

A short greeting at Chinese New Year and the Mid-Autumn Festival maintains the relationship between orders. 新年快乐 or 中秋快乐 with a line of thanks is enough.
